Wedding Checklist

This checklist provides an idea of what we will guide you through at Red Scooter.  For assistance on planning your entire wedding, we recommend Easy Weddings.

12 – 18 months prior to your wedding:

  • Set wedding date and have a couple of options as Red Scooter may be booked on your date
  • Book an appointment for a site inspection and meeting with a Wedding Coordinator at Red Scooter
  • Draft a guest list so you know the number of guests you need to book for
  • Confirm Red Scooter as the venue, and return the signed contract and deposit to make it official
  • If you are not having the ceremony at Red Scooter, confirm the ceremony church or venue

9 – 12 months prior to your wedding:

  • Select the colour scheme or any theme that will be used throughout the planning of your wedding
  • Begin to source suppliers for your Photographer, Videographer, Entertainment, Flowers and Wedding Cake.  Be sure to speak to Red Scooter for ideas on where to go for all of this!
  • Decide on the type of entertainment you will be using, and listen to demos – even better, visit them live!

7 - 9 months prior to your wedding:

  • Book & pay the deposit for your entertainment
  • Meet with your florist to discuss appropriate flowers that will be in season and your colour scheme
  • Confirm your Photographer and Videographer

6 months prior to your wedding:

  • Choose your Wedding Cake and order it
  • Design your wedding invitations and carefully select the wording to include all relevant details.  If you have guests coming from out of town, you may want to offer some accommodation options nearby to Red Scooter  (your wedding coordinator can provide these)
  • Choose an RSVP date no later than 4 weeks prior to the wedding

4 - 5 months prior to your wedding:

  • Finalise your guest list and prepare invitations
  • Finalise ceremony arrangements with your priest, minister or celebrant, and apply for your marriage licence.

2 - 3 months prior to your wedding:

  • Send your invitations to all guests
  • Choose a Master of Ceremonies (MC) – if this is not a guest at your wedding and you are seeking a professional, speak to Red Scooter about who we recommend.
  • Select ceremony and reception music, you will need to pick music for walking down the aisle, signing the register, the bridal waltz, cutting the cake and any other special moments on the day!
  • If you are having a menu tasting at Red Scooter, book this in with your Wedding Coordinator

4 – 5 weeks prior to your wedding:

  • Organise any rehearsals – if your ceremony is at Red Scooter, book your rehearsal date, and ensure the celebrant is booked also
  • Follow up any outstanding RSVP’s and provide final guest numbers
  • Meet with your Red Scooter Wedding Coordinator to run through the Order of Proceedings for your wedding
  • Finalise your menu for the evening, and your beverage selections
  • If you are having photos at a special location, talk to Red Scooter about providing refreshments for the Bridal Party

1 – 2 weeks prior to your wedding:

  • Finalise your floor plan, seating allocation and write name cards if you are using them.
  • Confirm your order of proceedings with your Master of Ceremonies
  • Deliver all items to Red Scooter that we require such as seating plans, name cards, special bridal party gifts any anything you need for the day.  Ensure everything is clearly labelled with your name.
