To assist with the planning of your forthcoming function. We have put together a brief outline of some frequently asked questions, about the venue.

car parking (melways ref: 58 E11)
The Red Scooter experience begins before you enter the venue - in the car park. As guests approach the first floor venue with its red door and striped awning, they are guided by our licensed crowd controllers and car park attendants using an air craft landing torch into designated car parking spaces, for the exclusive use of our patrons.

On and off street parking is available in William Street to the north of Nightingale Street, Stuart Street, William Place & Charles Street. All car parking spaces are estimated to be within a 3-minute walking distance to Red Scooter.

sustainable Transport Options
Red Scooter has excellent access to public transport, with Balaclava Railway Station located within a short walking distance. A number of tram and bus routes also service the venue.

taxis:
Red Scooter is located only 6.8km from the CBD and is readily accessible by taxi.

train
Balaclava Railway Station is located to immediate the west of Red Scooter (running between Sandringham and Melbourne CBD).

TRAMS
Tram route No.3 operates along Carlisle Street between East Malvern and Melbourne University. Tram route No. 69 operates along Carlisle Street between St Kilda Beach and Kew.

buses
Bus route No. 216 operates along Hotham Street approximately 600 meters east of Red Scooter and provides a connection between Deer Park West and Brighton Beach Station.

Bus route No. 219 operates along Hotham Street approximately 600 meters east of Red Scooter and provides a connection between Sunshine Park and Bus Route No. 216.

Bus route No. 623 operates along St Kilda Road approximately 530 meters west of Red Scooter and provides a connection between Glen Waverley Station and St Kilda.

on-going support
Many events are booked months and in some cases years ahead. You can be rest assured that once you have confirmed your booking, we will contact you in the lead up to your event date to discuss the finer details of your function

venue inspections
Send us an email or call us - we'd be delighted to chat about your event and welcome you to Red Scooter!

tentative bookings
You can make a tentative booking with us for your preferred date and we will endeavour to hold this for you for up to 7 days. Red Scooter reserves the right to take a confirmed booking over any tentative booking but we will try to let you know and give you first option to confirm wherever possible.

deposit and confirmation
We require a deposit along with the completed booking form to confirm your booking. There are different deposit requirements for high and low season bookings.
January to mid November Deposit: $3,000.00
High Season. Mid November through to 31 December.
Deposit: 50 % of total Event cost payable
(25% of total Event cost with Booking Form & 25% of total Event cost 3 months before function)

final numbers and payment
Red Scooter requires notification of your final number of guests attending your event, 10 working days prior to the date. If final numbers fall below the minimum attendance requirement, you will have to pay at the minimum booking rate (unless we agree with you otherwise). If the numbers are down but above the minimum attendance requirement, we will negotiate with you to minimise extra costs but you must cover wastage, extra staff, costs etc which would otherwise not have been needed. 

Full payment is required 7 working days prior to your event, in cash, bank guaranteed cheque, direct payment (into our account), or by approved credit card. Personal cheques must be received 15 working days prior to your event. Payment must be received in full prior to your event, in order for it to proceed.

Please note: any significant changes made to seating plans and booking details within 10 working days of the event will incur a further administration fee, to be paid prior to the commencement of your event. Please check with us for any further costs, to avoid misunderstandings.

venue access
The client has access to the venue 2 hours prior to the commencement of the event and 1 hour after. An additional charge may apply if earlier or later access is required.  Red Scooter must be notified at least 72 hours prior to the event regarding arrival and load out times of equipment etc.

music
Now, have you thought about music? As you know, we try and make everything run as smoothly as possible on your special day and music can be an overlooked aspect of event planning. We can offer you a choice of one of our in house DJ's (and they are fantastic!) or your own DJ, with or without our lighting and sound equipment.

OPTION 1 - RED SCOOTER IN HOUSE DJ WITH THE LOT
Our DJ's are renowned for delivering a quality performance, every time with a sound and light show to bring even the most reluctant guest to their feet! Before the event they'll discuss the track selection and structure with you to make sure all your musical tastes are covered.
5 hour duration from $660.00 Inc GST.

OPTION 2 - YOUR DJ, RED SCOOTER SOUND AND LIGHT SYSTEM.
If you have a favourite DJ, you're welcome to book them for your event and we're happy to give them access to our in-house speakers, amplifiers, radio mikes and lighting affects (your DJ will need to supply their own CD players, turntables and mixer.). Please ask them to contact us to discuss details.
$330.00 Inc GST.

OPTION 3 - YOUR DJ AND THEIR EQUIPMENT.
Your chosen DJ may also like to supply all equipment including, speakers, amplifiers, mixer, CD players or turntables, microphones and lighting effects.

responsible service of alcohol
The Red Scooter staff are trained in the Responsible Serving of Alcohol, and by law may refuse to serve alcohol to any person/s who seems to be intoxicated. Red Scooter prohibits any minors under the age of 18 years to be served or given any alcoholic beverages.

Hire of multi media projector, projection screen, speaker system link, DVD player and technical support, prior to the event $550

Show operator $66 per hour (min 3 hour call)
Projection screen hire $110
Note book computer $165
Removal and reset of multi media projector and or projection screen $110

master of ceremonies
Whatever the occasion Red Scooter can recommend friendly, professional Emcees who have the expertise and understanding to deliver the highest level of service. They are dedicated to meeting your expectations by capturing the true essence of your event.

extended event time
Should you wish to extend your event beyond a Five Hour Duration, we will try to accommodate your needs. An hourly rate/per head rate applies based on confirmed guest numbers/minimum numbers (which includes beverages based on your chosen package and staffing).

Please check with us for availability of extra time and the applicable hourly rate, as much depends on what bookings we have following your event and the time /access needed to clean-up and get ready.

deposits refunds for cancellations
We share your disappointment if you are unable to proceed with your event. Should your event be cancelled or postponed, please check our terms and conditions which clearly set out how we deal with these.

early arrivals
Guests who arrive early will be provided with beverages which will be charged to you on a consumption basis.

security & cleaning
A security charge and cleaning bond may apply for some events.

price increase
All packages and quoted prices are subject to a 3% increase as of 1 January 2008.

Bookings at Red Scooter generally require a Minimum Number of Guests, unless otherwise agreed.

The Minimum Number of persons required to attend any event are listed in the below Capacity Table. If numbers are below this, you must pay as though the Minimum Number attended.

We will try to work this out with you but unless otherwise agreed, the Capacity Table applies to all events.
