Organising a wedding, can place considerable strain on all parties involved. It is important to allow ample time, three months can be long enough, but if the arrangements are extremely detailed and complex more time may be necessary. Priorities and procedures will vary with the brides and grooms circumstances and attitudes. Red Scooter has provided a quick reference wedding planner, to assist you in getting organised and providing valuable tips.

A reception at Red Scooter or at another of our venues accustomed to catering for weddings. Is possibly the simplest to organise, as once your preferences are worked out, we will make the arrangements for you. If your reception is to be in a private home, remember, we may be required to provide not only food and beverage, but also staff, the table settings, furniture, even a marquee, lights and decorations in some cases.


The following check list has been designed for the bride and groom who are marrying at a place of worship, with a formally organised reception afterwards.

visit the minister, priest, rabbi or register to arrange the wedding.
select the venue after deciding how many guests are to be invited.
make a complete wedding guest list, including addresses.
organise stationary and printing of your wedding invitations, before the invitations are printed, triple check that all the information is correct in every way. Your invitations should be sent at least six weeks before the wedding day.
choose your bridesmaids and best man.
organise all your wedding clothes and accessories.
order the wedding cake.
book a photographer / videotographer.
if you are staying in a hotel on your wedding night, make those reservations.
select a florist and consult on all flowers required for the church, reception, bouquets and boutonnieres (button holes)
organise a gift register.
keep a record of acceptances and refusals on a daily basis.
choose your stylist, ensure that you have a trial hair and makeup at least six weeks before the day.
ensure your fiancé has organised the cars, the rings, his clothes and the honey moon, and offer assistance, as he will probably need it.
finalise the menu and general running of the evenings formalities if this has not been predetermined by an earlier meeting with the venue.
provide the venue with the final number of guests and your seating plan as well as place cards and any special items you might want placed on tables.


while the music you choose for your ceremony will be a matter of personal taste, don't under estimate the importance of music to the overall affect of your wedding ceremony.


it is important that you plan the sequence of events for the wedding including the times for serving food, cutting of the cake, toasts and speeches, dancing throwing of the bouquet and your departure. The evenings formalities depends largely upon the style of reception you are having, whether it be a cocktail, dinner or buffet style reception.


this can be a formidable task and often requires considerable effort to make it right. But remember, seating guests together who share a common interests or friendships can contribute greatly to their enjoyment at the reception.


are a traditional part of every wedding and should usually be brief, sincere and to the point.


generally at the conclusion of the main meal, the bride and groom rise to cut the cake. The bride cuts the first slice, the cake would then be returned to the kitchen, where a chef then cuts the remainder of the cake, which may be served to your guests as dessert or packaged for them to take home.


although traditionally the brides parents pay for the wedding, today the financial burden may be shared by the grooms parents and the bride and groom themselves. The following charges should be considered when budgeting for your special day.

photography and video fees.
transport.

it is a good idea to establish a number of files which allow you to keep relevant information together. We have prepared a list of suggested topics and contents.

music: favourite pieces and contacts for musicians.
reception: menu suggestions, table seating plan, cost estimates and quotes.
invitations: stationary samples, a copy of the proof of your invitation that was signed of before going to the printer. This file could also contain the wording for order of service, place and thank you cards and other printed items you may require.
clothing: references of dresses, hairstyles, veils, are all useful for discussion with your dressmaker or designer, stylist and florist.
flowers: a list of recommended florists and a run down of flowers in season.
account & payments: all invoices, receipts and if accounts have been paid by mail a photocopy of your cheque.


Of course, these categories may be adjusted according to your particular wedding. However this system will work efficiently from the initial planning to the writing of thank you cards.
